Key Responsibilities
- Provide administrative support by answering phones and emails, managing correspondence, and performing various tasks to ensure smooth day-to-day operations.
- Handle entry-level bookkeeping tasks, including recording expenses, organizing receipts, and maintaining transaction records.
- Resolve billing issues with clients and internal team members, demonstrating excellent problem-solving skills and attention to detail.
- Offer account access, usage reports, data analysis, and other ad hoc requests to team members, showcasing your ability to work collaboratively.
- Support quality assurance checks of internal and client-facing reports, ensuring accuracy and attention to detail.
- Organize new client contracts, create invoices, and process client payments, demonstrating your ability to manage multiple tasks.
- Contribute to internal database maintenance, upkeep, and data entry, highlighting your organizational skills.
- Research, order, and distribute company-wide gifts, and organize company events, competitions, and special projects throughout the year.
- Facilitate company holiday, time off, and schedule variation calendars, ensuring seamless coordination among team members.
Additional Responsibilities for LA-Based Candidates
- Handle mail pickup at the Downtown LA office twice per week, scanning and organizing mail digitally.
- Record and deposit client payments, demonstrating your ability to manage financial transactions.
- Collect and redistribute company office equipment from staff in the region as needed, requiring a valid driver's license and reliable transportation.
Essential Qualifications and Skills
To excel as an Office Assistant at Coalition Technologies, you should possess:
- A willingness to learn, grow, and collaborate with the team and company as a whole.
- Excellent verbal and written communication skills, with the ability to effectively interact with clients and team members.
- A high level of discretion, ethics, and trustworthiness, demonstrating your commitment to maintaining confidentiality and upholding company values.
- Intermediate spreadsheet skills, with experience in Google Sheets or Excel (preferred).
- Innovative thinking and a willingness to challenge existing methods where improvement is possible.
- Experience in bookkeeping/financial record-keeping (preferred), with knowledge of QuickBooks Online and G-Suite (preferred).
- The availability to work 40 hours per week from 9:00 am to 6:00 pm PST, with a reliable space to work remotely and a fast computer, quality internet, camera, microphone, and speakers.
