Overview:
We're a tax practice looking for a reliable, organized administrative assistant to help coordinate client information and handle operational tasks. This is not a tax preparation role — we need someone who can keep things moving behind the scenes so our team can focus on returns and advisory work.
What you'll do:
Collect, organize, and track client documents and information requests
Follow up with clients on missing or incomplete paperwork
Research and track down overdue payroll tax filings and payments
Communicate with taxing authorities (IRS, state agencies) on routine matters like transcripts, notices, and account status
Maintain client records and update tracking spreadsheets
Help manage deadlines and keep the team on schedule during busy periods
Handle basic data entry in QuickBooks and tax software
What we're looking for:
Experience working in a tax office, CPA firm, or bookkeeping environment (admin or coordinator role is fine — you don't need to be a tax preparer)
Comfortable using QuickBooks and at least one professional tax software package (Drake, Lacerte, ProConnect, etc.)
Strong organizational skills and attention to detail
Reliable follow-through — if you say you'll track something down, you do it
Clear, professional communication with clients and government agencies
Able to work independently with minimal supervision
Details:
Hours: 10–20 per week (flexible scheduling)
Rate: $25–$35/hr depending on experience
Location: Fully remote
Duration: Ongoing, with potential to grow
