Part-Time Virtual Assistant (E-Commerce & Vendor Support)

About the Role: I’m looking for a U.S.-based Virtual Assistant to support a small but growing lifestyle/e-commerce brand. This is a lean, flexible role ideal for someone detail-oriented, organized, and proactive, with a few hours available each week to help keep things moving smoothly. This is part time for the next 4 weeks to get a capsule launched on our store. This would be part time and only a few hours per week. That said, I need help establishing some processes in the first week or two. After the initial 4 week milestone, we'll assess workload and potential of continuing together if we're a good fit and the workload demands it. Responsibilities: Vendor coordination: reconcile orders and invoices with existing merchandise vendors, track payments, follow up on missing info. Initial vendor outreach: send introduction emails or inquiries to new suppliers. Shopify support: update product listings, pricing, descriptions, tags, shipping and T&C policies, and inventory as needed. Light CRM/admin: we haven't launched yet, but might need to set up segments within shopify and/or flodesk etc. Weekly reporting: provide me with status updates, action items on my end, and any bottlenecks (this is usually me, so you'll need to establish a schedule/cadence for our check-ins). At least 1 x weekly google meet check-in, and either slack or other comms throughout the week to start. Admin Support: I have a number of other projects going on, and might need general admin support across other projects from time to time. If you're up on AI efficiency apps, even better as I'm all for streamlining. Requirements: Must be on a US time zone (I am PST) and fluent in written and spoken English. Highly detail-oriented and reliable; able to follow through without hand-holding. Proactive and able to research if you don't know how to do something. Comfortable navigating Shopify. Familiarity with email marketing platforms (Flodesk) Can use Canva when needed. Previous VA experience in e-commerce, retail, or lifestyle brands preferred. Ideal Candidate You’re someone who likes to check things off a list, tidy up processes, and make sure the little details don’t fall through the cracks. You're proactive when it comes to work processes and efficiencies. You don’t need to be an expert in everything, but you should be comfortable with shopify and e-commerce as this is my weakest link.
