Executive Personal Assistant / Project Manager
(Local to Tampa-St. Pete – Part-Time, Flexible Hours)
Overview
I’m a busy executive seeking a sharp, trustworthy Personal Assistant + Project Manager hybrid to help manage both my personal logistics and larger, self-directed projects. This is a local, part-time, flexible role with variable hours — some weeks may require no work at all, while others may involve 15–20+ hours depending on what’s active.
This is not a basic VA gig. I’m looking for someone who can both book flights and take a rough idea like:
“I have 30 acres in North Carolina and want to turn it into a farm — figure it out,”
and run with it.
What You’ll Do
Book complex domestic/international travel (multi-leg flights, hotels, cars, etc.)
Research and coordinate lifestyle projects (e.g. land development, forestry, farming, home services)
Organize and manage insurance documents, bills, and other paperwork
Identify, vet, and contact contractors, consultants, or experts
Occasionally assist in-person with sorting, scanning, or organizing paperwork (local only)
Communicate clearly and professionally on my behalf
You Might Be a Great Fit If You:
Are based in the Tampa–St. Petersburg area and can stop by as needed
Can manage projects independently without hand-holding
Are proactive, organized, discreet, and highly reliable
Are confident calling experts, managing moving parts, and getting things done
Have supported busy executives, entrepreneurs, or high-net-worth individuals
You should also be tech-savvy and comfortable troubleshooting basic tech issues — not a programmer, but someone who can confidently navigate the internet, handle web searches, use cloud tools (Google Drive, Dropbox, etc.), manage digital files, and assist when everyday tech breaks down (printer problems, email setup, password resets, app syncing, etc.). If you're the person friends or family turn to when they can't get their Wi-Fi working or need help organizing digital clutter, you'll probably do great here.
Schedule & Flexibility
Highly variable week to week
Some weeks: 0–2 hours
Active project weeks: 15–25+ hours
Must be responsive and able to spin up quickly when a project begins
Most work is remote, with occasional in-person visits as needed. I live near St. Pete so you also need to be within an hour driving distance.
Compensation
You can choose the structure that works best for you:
Hourly Rate: ~$50/hour depending on experience and scope
Monthly Retainer: ~$1,500/month
Ideal for those who value predictable income. This covers a flexible mix of hours — some weeks may be very light (2–3 hours), others heavier (15–20+). The retainer secures your availability and responsiveness, not a fixed number of hours.
If any week looks like it will exceed 15–20 hours, we’ll agree on the plan and adjust accordingly.
If you're highly responsive and comfortable with autonomy, the retainer offers steady income with freedom.
To Apply — Loom Video Required
Please submit a 2–4 minute Loom video where you:
Introduce yourself and your relevant experience
Tell me where you live, your city or town which should be close to St. Petersburg, FL. I don't want or need your address.
Share a real-world example of a complex or multi-step problem you solved
Tell me why this kind of flexible, trust-based role appeals to you
No need to script it — I’m looking for real thought process and communication, not a perfect pitch.
Also include in writing:
Your General availability
Your preferred pay structure (hourly or retainer) and why
One example of a similar task or project you’ve handled independently
Applications without the Loom video will not be considered.
Education
College degree not required. I care more about good judgment, clear thinking, and strong execution than credentials. If you’ve successfully supported busy professionals or coordinated complex logistics on your own, you're likely a great fit.
This is a part time independent contractor position (1099).
