The USTA (United States Tennis Association) is the national governing body for tennis in the United States, focused on promoting and developing the sport. They are seeking a Partnership Marketing Administrative Assistant responsible for administrative tasks within the Partnership Marketing Department, including clerical duties, managing executive calendars, and supporting special event planning.
Responsibilities
- Manage executive calendars and meeting requests
- Manage executive expense accounts and book executive travel
- Assist with tracking and updating the US Open sponsor ticket inventory and corporate assignments
- Assist with the review and updating of Sponsor Per Contract and Purchase account records, and coordinate per contract mailings with the Ticket Office
- Process and track sponsor per session ticket purchase requests and provide receipts for reconciliation
- Perform general administrative duties, including but not limited to coordination of mailings, photocopying, emailing, and filing
- Coordinate tournament and holiday gifting programs to business clients; project schedule, work with Merchandise group to source gift options, update gift list, packaging, and shipping details
- Maintain an updated contact database
- Maintain staff attendance records and distribute staff weekly schedules
- Coordinate department meetings and agendas
- Support special event planning and logistics, including an annual Partner Briefing and Partner Reception
- Other duties as assigned
Skills
- Associate's degree from an accredited college or university or equivalent
- Demonstrated strong work ethic, positive attitude, and professional client-facing demeanor
- Excellent organizational and time-management skills
- Excellent written and verbal communication skills
- Must have the capability to remain calm and focused in a high-pressure, fast-paced environment (US Open)
- Must be available to work from the USTA National Tennis Center, Queens, NY, for the duration of the US Open (currently 3 weeks)
- This position is designated as 'hybrid/flex' and may allow for both remote and on-site work. Any such position must meet the current USTA hybrid/flex requirements as updated from time to time
- Customer-facing experience preferred
- Familiarity with Ticketing systems preferred (e.g., Archtics)
- Proficiency with Google Suite, Excel, PowerPoint, and Adobe Suite preferred
