Administrative and Moving Mountains Summit Planning Manager

Colorado State University is seeking an Administrative and Moving Mountains Summit Planning Manager to coordinate administrative processes that advance global mountain sustainability initiatives funded by the National Science Foundation. This role involves supporting travel logistics, budget functions, and administration of contracts, as well as providing essential support for network activities. Responsibilities - Assist with transition between project manager and administrative coordinator - Review key processes, workflows, and tools - Facilitate team meetings and introduction - Provide guidance and education on existing Mountain Sentinels projects, duties, and processes - Global coordination team liaison - Attend planning meetings, report across teams - Develop communications with conference participants in coordination with Lydia’s administration team - Manage or coordinate external communications and web communications as necessary - Moving Mountains Summit financial coordinator and administrative support - Coordinate and support high-level financial agreements, contracts, stipends, honoraria, and transactions between CSU and external vendors in regards to the Moving Mountains Summit - Directly support conference organizers with administrative and financial tasks, including budget tracking, working with the WCNR budget office - Cooperate with administrative coordinator to coordinate travel through CSU and foreign travel agents - On the ground support during Summit in Nanyuki - Financial reporting and reconciliation after the Summit - NSF reporting summary after the Summit Skills - Bachelor's degree in business administration, education, sustainability or related field - 1–3 years of administrative or project management experience - Demonstrated experience in core administrative functions, including scheduling, correspondence management, budget tracking, procurement, and support of research or grant-related activities - Strong written and verbal communication skills - Proficiency in Microsoft Office and Google Workspace (Word, Excel, Outlook, etc.) - Experience working in a complex or regulated environment - Demonstrated commitment to cross cultural communication - Demonstrated high level of organization, attention to detail, and ability to manage multiple tasks and deadlines in a fast-paced environment - Familiarity and compliance with CSU and NSF financial systems, software, and processes - Familiarity with Mountain Sentinels Core Values, processes, goals, and organization systems - Experience with international travel planning - Cross-functional team coordination - Global stakeholder liaison & relationship management - Facilitation and follow-up reporting - Experience with on-site event coordination and logistics - Experience with participant communications - Experience with cross-cultural communication - Financial & Administrative Management - Contract and vendor management Benefits - Robust benefits package - Collaborative atmosphere - Focus on work-life balance Company Overview - At Colorado State, there’s this energy we all share—this undeniable excitement for what’s next.
