Position Responsibilities

An Intake Coordinator (IC) acts as the initial reviewer for new cases received by MASSIVE. The IC is responsible to input new cases into our proprietary system, ensure accuracy of the data entered, and begin/check any workflows for the case. Other responsibilities include mail processing, answering incoming calls, and managing detailed information about insurance companies, subrogation firms, and other lien holders. The IC works in a team with others to complete the lien resolution process. The IC is unlikely to have any customer contact on behalf of MASSIVE except when answering incoming calls. This is an introductory role for the Lien Resolution process.

Duties and responsibilities include, but are not limited to:

Intakes
? Utilize telephone, email, fax, online portals, and regular mail to add new cases into our proprietary system;
? Develop relationships within the team to improve and expedite the intake process;

Information Receipt
? Receive all new intake information via mail, fax, and email;
? Retrieve and scan mail into electronic systems;
? Organize and disburse received information to appropriate team members
? File information into appropriate electronic locations, including SharePoint and our proprietary system.

Workflow & File Management
? Maintain MASSIVE?s proprietary software, the Claim Tracking System (CTS), including client information updates and workflow management;
? Ensure smooth operations through data discovery and detection of patterns during the normal day-to-day work;
? Contribute to the team effort by accomplishing team-related results;

Qualifications

No previous experience is required. An IC must have a comfortable working knowledge of the Microsoft Office suite of applications as well as the ability to utilize web-based systems as the MASSIVE Claim Tracking System (proprietary web-based system). Either an undergraduate degree or at least three (3) years office experience is preferred.

Teamwork is important to the success of MASSIVE, so strong interpersonal skills are a must. An IC must be self-motivated and willing to work with the ebb and flow of an ever-changing task list.

An IC will be expected to become knowledgeable in the MASSIVE workflows. They must have or develop, within 90 days of employment, a solid understanding of the processes and workflows we use. Finally, an IC must understand the reasons for certain actions we take, including putting the customer first and acknowledging the customers; perception of what we do is nearly as important as the actual successes.

Travel

The IC will pick up mail from the Southfield Post Office and periodically drop off other mail at a nearby office.
